Tables, fields and records
Your data lives in tables. A table is a list of one kind of thing, a field is a column in that list, and a record is one row. This article explains how to create and change them.
Create a table
The quickest way is to ask the AI builder: "Add a Customers table with name, email, phone and address." It creates the table and can build a page for it at the same time.
To do it by hand:
- Open the Tools tab and choose Data & API.
- Stay on the Tables tab and add a table.
- Choose Start from scratch and give the table a name, such as Invoices, Contacts or Products.
On the Starter plan and up you can also connect a table from an outside source such as Airtable, Google Sheets or Snowflake.
Field types
Each field has a type that decides what it holds:
- Text: Text, Long text, Email, Phone, URL
- Number: Number, Decimal, Currency, Percent
- Date: Date, Date & time
- Choice: Select, Multi-select, Status, Tags
- Other: Checkbox, File, Image, JSON
You can rename a field, change its type, mark it as required, and edit the options of a choice field.
Link tables together
A relation links a record in one table to a record in another. For example, each job belongs to one customer. Ask the builder: "Link each job to a customer." The job then shows the customer's name instead of a code. If the linked record is later deleted, the field shows "(deleted)".
Work with records
You add, edit and delete records on your pages. A table with no custom page gets an automatic table page with search and a New Record button.
The builder sometimes adds sample records so a new page is not empty. You can remove them with Clear Sample Data on the table.
Publishing table changes
If a table or a change to it is marked as not yet published, it goes live when you click Publish.
Who can see what
Owners and admins see every table. For other roles you can limit a table to view only, to a person's own records, or hide it completely. See Roles and permissions.
Limits
Each plan allows a number of records in an app: 10,000 on Free, 50,000 on Starter and 125,000 on Business.
