Invite customers to your portal
Customers get into your portal in one of two ways: you invite them, or they sign up themselves. You control both from Portal settings.
Open Portal settings
- Open Tools in the sidebar and choose Portal.
- In the portal preview, click the gear icon in the header to open Portal settings.
Only owners and admins see the gear icon.
Your portal address
The top of Portal settings shows your Portal address. This is the link you give to customers. Click it to open the portal, or copy it into an email or onto your website.
Invite a customer
- Under Invite Portal User, enter the customer's email.
- Optionally enter a display name.
- Click Invite.
The customer gets an email with a link to accept the invitation and choose a password of at least 8 characters. The link works once.
Invite a customer with the same email address you have on their customer record. That is how the portal knows which records belong to them. See Control what portal users can see.
Let customers sign up themselves
The Allow new signups switch decides whether people can create their own portal login.
- On: your portal's login page has a sign-up option. A new user enters their email and a password and confirms their email address.
- Off: only people you invited can get in. There is no sign-up option.
Leave it off if your portal should be invitation-only. Turn it on if you want customers to be able to help themselves, for example from a link on your website.
See who has access
Portal Users lists everyone with a portal login and their status:
- Invited: the invitation was sent and has not been accepted yet.
- Pending verification: they signed up and have not confirmed their email yet.
- Active: they can sign in.
- Suspended: their access was removed.
Remove someone's access
Find the person under Portal Users and click the remove button next to their name. Their access is revoked and they can no longer sign in. Their records in your tables are not affected.
If a customer cannot get in
- They did not get the email. Ask them to check spam, and confirm the address is spelled correctly in Portal Users.
- They forgot their password. The login page has a Forgot your password? link. They receive a reset link by email.
- They signed in but see "Account Not Linked". Their login email does not match a customer record. See Control what portal users can see.
- There is no sign-up option. Allow new signups is off. Invite them instead.
Invite from the customer record
If you invite customers often, ask the assistant to add an "Invite to portal" button to your customer page. One click then invites that customer and links the login to their record, so there is no email matching to get wrong.
